Acceptable Use Policy

The standards of conduct that apply to all users of Proven. CPD.

This Acceptable Use Policy ("AUP") applies to all users of the Proven. CPD platform operated by Nexi Bot LTD. It forms part of our Terms of Service. Breach of this policy may result in suspension or termination of your account.

1. Professional standards

Proven. CPD is a professional tool for registered and student paramedics. You agree to use it in a manner consistent with your professional obligations, including:

  • Maintaining honesty and accuracy in all portfolio entries, CPD records and reflections;
  • Complying with the HCPC Standards of Proficiency and Standards of Conduct, Performance and Ethics at all times;
  • Not fabricating, exaggerating or misrepresenting CPD activities, placement hours or competencies;
  • Not falsely obtaining or providing proficiency sign-offs or digital signatures;
  • Ensuring your HCPC registration number (if provided) is your own.

2. Patient and third-party data

This is one of the most critical rules of the Platform:

  • You must not include patient-identifiable information in any content on the Platform. This includes names, NHS numbers, dates of birth, addresses, job roles, or any other information that could directly or indirectly identify a patient.
  • Reflective accounts must be anonymised in accordance with your professional body's guidance and applicable data protection law.
  • You must not include identifiable information about colleagues, employers or third parties without their explicit consent.

If we identify patient-identifiable information on the Platform, we reserve the right to remove it without notice and to notify the appropriate regulatory authority.

3. Prohibited conduct

You must not:

  • Attempt to gain unauthorised access to another user's account, data or content;
  • Share your account credentials with any other person;
  • Impersonate another individual, organisation, Practice Educator or HCPC registrant;
  • Use the Platform to send unsolicited commercial messages or spam to other users;
  • Upload, post or transmit content that is defamatory, obscene, abusive, harassing or unlawful;
  • Engage in discriminatory conduct on the basis of age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race, religion or belief, sex or sexual orientation;
  • Attempt to reverse engineer, decompile, disassemble or otherwise derive source code from the Platform;
  • Use automated scripts, bots or scrapers to access or extract content from the Platform;
  • Introduce malware, ransomware, viruses or any other harmful code into the Platform;
  • Use the Platform to facilitate or commit any criminal offence; or
  • Sub-licence, resell, or commercially exploit access to the Platform without our prior written consent.

4. Content standards

All content you upload or create must:

  • Be accurate to the best of your knowledge — portfolio entries should reflect genuine professional activity;
  • Comply with applicable law, including data protection law, intellectual property law and professional regulatory requirements;
  • Not infringe the intellectual property rights of any third party;
  • Be in the English language (where required for platform features to function correctly).

5. Peer forum conduct

The Proven. peer discussion forums are a professional space. When participating, you must:

  • Maintain a professional and respectful tone at all times;
  • Not share clinical case details that could identify patients;
  • Not give or seek specific clinical advice — forums are for professional discussion, not clinical guidance;
  • Not post promotional or commercial content;
  • Report content that violates this policy using the in-platform reporting function.

6. Reporting violations

If you become aware of content or conduct on the Platform that violates this AUP, please report it to [email protected]. We take all reports seriously and will investigate promptly.

7. Consequences of breach

Breach of this AUP may result in, at our sole discretion:

  • Immediate suspension or permanent termination of your account;
  • Removal of content that violates this policy;
  • Referral to your professional regulatory body (including HCPC) where we believe your conduct warrants it;
  • Referral to law enforcement authorities where criminal conduct is suspected.

We will not ordinarily provide a refund for any remaining paid subscription period where an account is terminated for breach of this AUP.
