2. The Service
Proven. (accessible at provencpd.co.uk) is a web-based platform for UK healthcare professionals — primarily student paramedics, newly qualified paramedics, and qualified paramedics — to:
- Track clinical placement hours and proficiencies
- Log Continuing Professional Development (CPD) activities
- Write and store structured reflections
- Generate and export HCPC-compliant portfolio documents
The platform is designed to support users in meeting the requirements of the Health and Care Professions Council (HCPC). We do not make any warranty that use of Proven. will guarantee a successful HCPC audit, revalidation outcome, or employment outcome.
3. Eligibility
To use Proven. you must:
- Be 18 years of age or older
- Be a healthcare professional or student in the United Kingdom
- Provide accurate and truthful registration information
- Agree to these Terms and our Privacy Policy
By using Proven. you represent and warrant that you meet these requirements.
4. Your Account
4.1 Registration. You must register with a valid email address and create a secure password. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
4.2 Accuracy. You agree to provide accurate, current, and complete information during registration and to keep it updated. Providing false information, including misrepresenting your professional status or HCPC registration number, is a breach of these Terms.
4.3 Security. You must notify us immediately at [email protected] if you suspect unauthorised access to your account. We are not liable for any loss arising from unauthorised use of your account where you have failed to keep your credentials secure.
4.4 One account per user. Accounts are personal and non-transferable. You may not share your account with another person or create accounts on behalf of others without their knowledge.
5. Acceptable Use
You agree to use Proven. only for its intended purpose and in accordance with our Acceptable Use Policy, these Terms, and all applicable UK laws.
In particular, you must not:
- Enter any patient-identifiable information into the platform (see Section 6)
- Misrepresent your qualifications, proficiency levels, hours, or CPD activities
- Use the platform to create fraudulent portfolio evidence
- Attempt to access another user's account or data without authorisation
- Use automated tools to scrape, crawl, or extract data from the platform
- Attempt to reverse-engineer, decompile, or copy any part of the platform
- Upload malware, viruses, or any malicious code
- Circumvent any security, authentication, or access control feature
- Use the platform in any way that could harm, overload, or disrupt the service
6. Patient Confidentiality — Your Professional Obligation
All reflections, case notes, and records you create must be fully anonymised before entry into the platform. This means removing or changing:
- Patient names, dates of birth, NHS numbers, and addresses
- Incident job numbers or CAD references that could identify a patient
- Any combination of details that could identify a specific individual
You are solely responsible for ensuring compliance with your obligations under the Data Protection Act 2018, UK GDPR, and the professional standards of the HCPC and your employer. Proven. provides in-platform reminders but cannot verify or enforce anonymisation. A breach of patient confidentiality is your personal professional responsibility.
7. Mentor / Practice Educator Relationships
If you are assigned a Practice Educator or Mentor through the platform:
- Your mentor will be able to view your proficiency records and placement data within the platform
- Mentors may sign off your proficiencies; such sign-offs are recorded with a timestamp and the mentor's identity
- Mentor access is strictly limited to data relevant to the mentoring relationship; mentors cannot access your CPD entries, reflections, or other personal data
- You consent to this access by accepting a mentor assignment
8. Content You Submit
8.1 Ownership. You retain full ownership of the content you create and upload on Proven. (your CPD entries, reflections, placement data, and files).
8.2 Licence to us. By submitting content, you grant Nexi Bot LTD a limited, non-exclusive, royalty-free licence to store, process, and display that content solely for the purpose of providing the service to you. We do not use your content for any other purpose.
8.3 Your responsibility. You are solely responsible for the accuracy and legality of the content you submit. You warrant that you have the right to submit any file you upload.
9. Intellectual Property
All intellectual property in the Proven. platform — including the software, design, branding, and documentation — is owned by or licensed to Nexi Bot LTD. Nothing in these Terms grants you any rights in that intellectual property other than the right to use the platform as a registered user.
"Proven." and the Proven. logo are trading names and marks of Nexi Bot LTD.
10. No Professional Advice
Proven. is a record-keeping and portfolio tool. Nothing on the platform constitutes clinical, legal, professional, or regulatory advice. In particular:
- The audit-readiness checker is a tool to assist your self-review — it does not guarantee compliance with HCPC requirements
- The reflective scaffolding prompts are guides, not a replacement for clinical supervision or mentorship
- You should always seek authoritative guidance from the HCPC, your employer, and qualified supervisors regarding your registration and professional obligations
11. Availability and Changes to the Service
We aim to maintain a high level of availability but do not guarantee that the platform will be available at all times. Planned maintenance will be communicated where possible.
We reserve the right to modify, suspend, or discontinue features of the platform with reasonable notice. We will not make material changes to the core service that would substantially disadvantage you without 30 days' notice.
12. Fees and Payment
Where a paid subscription or feature is offered, the applicable fees will be clearly displayed before purchase. All prices are in GBP and inclusive of applicable taxes. Subscription terms, cancellation rights, and refund policies will be set out at the point of purchase and form part of these Terms.
If no fee is stated, the relevant feature or tier is currently provided free of charge. We reserve the right to introduce fees with 30 days' notice.
13. Termination
13.1 By you. You may close your account at any time via Account → Delete Account. On deletion, your personal data will be erased in accordance with our Privacy Policy.
13.2 By us. We may suspend or terminate your account immediately and without notice if you breach these Terms, particularly provisions relating to patient confidentiality, fraudulent use, or malicious conduct. Where termination is for other reasons, we will give reasonable notice.
13.3 Effect of termination. On termination, your right to access the platform ceases immediately. We will retain your data for the periods specified in our Privacy Policy.
14. Limitation of Liability
To the fullest extent permitted by UK law:
- Nexi Bot LTD's total liability to you in connection with these Terms or use of the platform shall not exceed the amount you paid us in the 12 months preceding the event giving rise to the claim, or £100 — whichever is greater
- We exclude all liability for indirect, consequential, special, or punitive loss, including loss of profits, loss of data, or loss of goodwill
- We are not liable for any failure of your HCPC audit, revalidation, or employment application, whether or not you used Proven.
- We are not liable for any disciplinary or regulatory action taken against you arising from how you use the platform, including in relation to patient confidentiality
Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by UK law.
15. Governing Law and Disputes
These Terms are governed by and construed in accordance with the laws of England and Wales. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

16. Changes to These Terms
We may update these Terms from time to time to reflect changes in the law, our services, or our practices. We will notify you by email and via a notice on the platform at least 14 days before material changes take effect. Continued use of the platform after that date constitutes acceptance of the updated Terms.
17. Entire Agreement
These Terms, together with our Privacy Policy, Cookie Policy, and Acceptable Use Policy, constitute the entire agreement between you and Nexi Bot LTD regarding your use of Proven. and supersede all prior agreements and understandings.
