Acceptable Use Policy
Effective date: 28 June 2026 · Version 1.01. Purpose
Proven. is a professional platform for UK healthcare practitioners. This Acceptable Use Policy (AUP) exists to protect users, third parties (including patients), and the integrity of the platform. It supplements the Terms of Service.
2. Permitted Use
You may use Proven. to:
- Record your own clinical placement hours and shift details
- Log your own CPD activities and link them to HCPC standards
- Write reflections on your own professional practice
- Track your own proficiency development
- Generate and export your own HCPC-compliant portfolio
- Act as a Practice Educator or Mentor to review and sign off proficiencies for students assigned to you
- Upload files that are relevant to your professional development and that you have the right to share
3. Prohibited Use
3.1 Patient and third-party data
You must never enter the following into Proven.:
- Patient names, dates of birth, NHS numbers, addresses, or any other patient-identifiable information
- Job or incident numbers that could be used to identify a specific patient or event
- Details of other individuals (colleagues, family members, witnesses) that identify them
- Information that breaches your duty of confidentiality under your professional code of conduct
All case-based reflections must be fully anonymised before entry. This is a core professional obligation and a condition of using this platform. Failure to anonymise is a potential breach of UK GDPR, your professional code, and your employer's policies — and is entirely your responsibility.
3.2 Fraudulent and misleading use
You must not use Proven. to:
- Record hours, shifts, or competencies that you did not actually complete
- Create false or fabricated CPD entries, reflections, or evidence
- Sign off proficiencies for a student you did not directly supervise or are not authorised to assess
- Misrepresent your HCPC registration number or professional status
- Submit fabricated portfolio evidence to the HCPC or any employer
Fraudulent portfolio evidence is a serious professional matter that may constitute fitness-to-practise concerns, fraud under the Fraud Act 2006, and/or grounds for criminal prosecution. Nexi Bot LTD will cooperate with regulatory bodies and law enforcement where required.
3.3 Platform abuse and technical misuse
You must not:
- Attempt to gain unauthorised access to another user's account or data
- Use automated bots, scrapers, or crawlers to extract data from the platform
- Attempt to reverse-engineer, decompile, or copy any part of the platform's software
- Upload files containing malware, viruses, trojan horses, ransomware, or any malicious code
- Conduct load testing, penetration testing, or vulnerability scanning without prior written consent from Nexi Bot LTD
- Circumvent authentication, rate limiting, CSRF protection, or any other security control
- Use the platform to send unsolicited communications to other users
- Attempt to overload or disrupt the platform's infrastructure (denial of service)
- Share your account credentials with any other person
- Create accounts on behalf of others without their knowledge and consent
- Create multiple accounts for the same individual to circumvent restrictions
3.4 Unlawful content
You must not upload, submit, or transmit content that:
- Is defamatory, discriminatory, or harassing
- Infringes any third party's copyright, trademark, or other intellectual property rights
- Breaches any confidentiality obligation, court order, or injunction
- Constitutes a criminal offence under UK law
4. Responsibility for Your Use
You are solely responsible for your use of the platform and all content you submit. Proven. provides tools to assist with professional record-keeping; it does not verify the accuracy of what you record, and it is not responsible for the consequences of inaccurate, false, or unlawful records.
Your use of Proven. does not replace your obligations to your employer, your educational institution, the HCPC, or any other regulatory or professional body.
5. Reporting Misuse
If you become aware of content or behaviour on the platform that breaches this policy, please report it to us immediately at [email protected]. We will investigate all reports and take appropriate action.
6. Enforcement
Breaches of this policy may result in:
- A warning and requirement to correct the breach
- Temporary suspension of your account
- Permanent termination of your account without refund
- Removal of any content that breaches this policy
- Referral to relevant regulatory bodies (HCPC, ICO, or law enforcement) where required by law or where we believe a serious breach has occurred
We will apply our enforcement at our reasonable discretion and will give you an opportunity to respond before taking permanent action where it is safe and practical to do so.
7. Changes to This Policy
We may update this policy from time to time. Material changes will be notified via the platform and by email at least 14 days before they take effect.
